Job Description Overview
The Assistant to the CEO provides high-level administrative support to the Chief
Executive Officer (CEO) by preparing his schedule to be strategically productive,
handling information requests, and performing clerical functions such as preparing
correspondence, expense reports, and scheduling meetings. The Assistant to the
CEO needs to be organized, proactive, and able to handle confidential matters with
discretion.
REQUIREMENTS:
Critical Qualities
- Mature Christian faith and agreement with Cafe 1040’s statement of faith
- A passionate follower of Jesus Christ with a proven devotion to the habits
necessary to maintain a daily relationship with him - Reflect personal and public integrity in line with Biblical principles
- Possess a longing for the fulfillment of the Great Commission
- Adaptable and able to multi-task with patience and willingness to serve
- Highly organized
- Natural attention to detail
- High level of professionalism and confidentiality

Specific Job Duties, Tasks, and Responsibilities
- Administrative Support:
o Manage the CEO’s calendar, schedule meetings, and coordinate travel
arrangements.
o Prepare meeting agendas, documents, and presentations as required by the
CEO.
o Screen and prioritize emails, calls, and correspondence on behalf of the CEO.
o Attend meetings with or on behalf of the CEO, taking minutes and tracking
follow-ups.
o Complete the CEO’s monthly expense report. - Communication:
o Serve as the primary point of contact between the CEO and internal/external
stakeholders.
o Draft and edit emails, reports, and presentations on behalf of the CEO.
o Maintain clear and effective communication with senior leadership,
employees, and external partners. - Project Management:
o Coordinate and track progress on key projects and initiatives led by the CEO.
o Manage special projects, ensuring deadlines are met and goals are achieved.
o Maintain donor management system and observe general ministry
donations.
§ Ensure all general ministry donors are appropriately thanked
§ Schedule the CEO to have meetings with donors
§ Record interactions in donor management systems - Confidentiality:
o Handle sensitive information with the utmost discretion and maintain a high
level of confidentiality. - Other Duties:
o Support and uphold the policies, values, and statement of faith of Cafe 1040
o Maintain sustainable funding levels for role through Cafe 1040 support-
raising model
o Actively take the opportunities to mobilize those people in the scope of your
influence toward involvement and investment in the mission and vision of
Cafe 1040
